Managing Your Meetings Dashboard

Your meetings dashboard shows all your meetings in one organised view.

Accessing your meetings dashboard

Once you've completed onboarding and integrated your calendar, you'll see your Marloo meetings dashboard with all your client meetings displayed chronologically.

Understanding the dashboard view

  • Today's meetings: See all meetings scheduled for today

  • Upcoming meetings: View future scheduled meetings

  • Past meetings: Access previously held meetings

What you can do from the dashboard

  • View meeting details: Click on any meeting to see details

  • Add Marloo to meetings: Toggle recording on/off for individual meetings

  • Join meetings: Use the direct join button to access video links

  • Access transcripts: Create or view meeting transcripts and summaries

Quick meeting actions

  • Join button: Takes you directly to Zoom, Teams, Hangouts, or other video platforms

  • Toggle switch: Turn Marloo recording on/off for specific meetings

  • Meeting status: See if Marloo is set to join or not


Adding Marloo to Online Meetings

Enable Marloo to record and transcribe your virtual meetings.

Step 1: Find your meeting

  • Go to your meetings dashboard

  • Navigate to Upcoming meetings

  • Find the virtual meeting you want to record

Step 2: Toggle Marloo on

  • Click on the meeting

  • The toggle will show "Marloo will join this meeting" when Marloo is set to join

  • It will show "Marloo won't join this meeting" when the toggle is off

Supported platforms — Marloo works with all major video conferencing platforms:

  • Microsoft Teams

  • Zoom

  • Google Meet/Hangouts

Auto-join vs manual admission

Marloo is set to join your meetings automatically. However, Marloo still requires you to manually admit it from the waiting room before it can start recording.

Important: Even with Marloo set to join, you must manually admit it to the meeting. Marloo will wait in the waiting room for up to 5 minutes — if you don't admit it before then, it will leave. Make sure to admit Marloo before the 5-minute window closes.

Removing Marloo from a meeting

You can kick Marloo out of a meeting at any time:

  1. Find the Marloo bot in the meeting participant list

  2. Click the three dots in the bottom right corner of the Marloo bot

  3. Select Remove now


Recording In-Person Meetings

Capture and transcribe face-to-face client meetings.

You can record in-person meetings using either the web app or the Marloo mobile app.

Using the web app

Step 1: Open your meeting

  • Go to your meetings dashboard

  • Click on the in-person meeting you want to record, or navigate to the relevant client and click the Meetings tab to find it

Step 2: Start recording

  • Click Start Recording

  • Marloo will begin capturing audio through your device's microphone

  • A recording indicator will show that the session is active

Step 3: Stop recording

  • Click Stop Recording when your meeting is finished

  • Marloo will process the audio and create a transcript

Using the Marloo mobile app

Step 1: Open the Marloo mobile app

Open the app on your iOS or Android device.

Step 2: Start recording

  • Open the In-person meeting from your calendar, or tap New meeting at the bottom of the screen

  • Tap Start Recording

Step 3: Stop recording

Tap Stop Recording when your meeting is finished.

Step 4: Wait for upload

Take about a minute for the recording to upload — it usually takes around that long. Once uploaded, the meeting will appear in the web app as an untitled meeting timestamped to when you recorded it.

After uploading: Open the meeting, give it a name, and tag the relevant client. This is required for Marloo to capture the meeting in the client view.


No internet? No problem: If your network cuts out during recording, the recording stays on your device. Go back into the meeting in the app and re-upload when you're back online. If the upload fails due to a recording issue, you can also attempt to re-upload from within the meeting.


Starting Meetings Early with "Send Marloo Now"

You can send Marloo to any meeting at any time using the Send Marloo Now button — you don't need to wait for the scheduled start time.

Step 1: Go to your meeting

  • Navigate to the meeting in your dashboard

  • Click on the meeting details

Step 2: Click "Send Marloo Now"

  • Click the blue Send Marloo Now button

  • Marloo will join the waiting room immediately

Step 3: Admit Marloo

  • Admit Marloo from the waiting room to begin recording

  • Continue with your meeting as normal


Removing and re-admitting Marloo mid-meeting

If a client asks for a specific part of the meeting not to be recorded, you can remove Marloo and re-admit it later:

  1. Kick Marloo out using the three-dot menu on the Marloo bot and selecting Remove now

  2. When you're ready to resume recording, click Send Marloo Now from the meeting in the Marloo app

  3. Admit Marloo back into the meeting


Adding Marloo by Pasting a Meeting Link

If you haven't connected Marloo to your calendar, you can still add Marloo to a meeting by pasting the meeting link directly.

  1. Go to your meeting in the Marloo dashboard

  2. Click into the meeting details

  3. Paste your virtual meeting link (Zoom, Teams, Google Meet)

  4. Marloo will join the meeting at the scheduled time

Note: Pasting a link does not work for meetings that have a passcode set. If your meeting requires a passcode, connect your calendar instead so Marloo can pick up the meeting details automatically.
