Managing Your Meetings Dashboard

Your meetings dashboard shows all your client meetings in one organised view

Accessing your meetings dashboard

Once you've completed onboarding and integrated your calendar, you'll see your Marloo meetings dashboard with all your client meetings displayed chronologically.

Understanding the dashboard view

  • Today's meetings: See all meetings scheduled for today

  • Upcoming meetings: View future scheduled meetings

  • Past meetings: Access previously held meetings

Toggling between time periods

  • Click on "Today" to see current day meetings

  • Click on "Upcoming" to see future meetings

  • Click on "Past" to see historical meetings

What you can do from the dashboard

  • View meeting details: Click on any meeting to see details

  • Add Marloo to meetings: Toggle recording on/off for individual meetings

  • Join meetings: Use the direct join button to access video links

  • Access transcripts: View completed meeting transcripts and summaries

Quick meeting actions

  • Join button: Takes you directly to Zoom, Teams, Hangouts, or other video platforms

  • Toggle switch: Turn Marloo recording on/off for specific meetings

  • Meeting status: See if Marloo is set to join or not

Adding Marloo to Online Meetings

Enable Marloo to record and transcribe your virtual meetings

For upcoming online meetings:

Step 1: Find your meeting

  • Go to your meetings dashboard

  • Navigate to "Upcoming" meetings

  • Find the virtual meeting you want to record

Step 2: Toggle Marloo on

  • Click on the meeting

  • Toggle the switch to "ON" to send Marloo to the meeting

  • Toggle to "OFF" if you don't want Marloo to join

Supported platforms Marloo works with all major video conferencing platforms:

  • Microsoft Teams

  • Zoom

  • Google Meet/Hangouts

Auto-join vs manual selection

  • Auto-join enabled: Marloo will automatically be set to join all your virtual meetings

  • Manual selection: Choose which meetings to record on a case-by-case basis

  • Change anytime: Update your auto-join preference in Settings > Meetings

Important reminders

  • You're always in control: Even with Marloo set to join, you must manually admit it to the meeting

  • Waiting room behavior: Marloo joins the waiting room first and waits for your approval

  • Remove anytime: You can kick Marloo out of any meeting at any time

Recording In-Person Meetings

Capture and transcribe face-to-face client meetings

Using the web app for in-person meetings

Step 1: Open your meeting

  • Go to your meetings dashboard

  • Click on the in-person meeting you want to record

  • Or create a new meeting by clicking the meeting and selecting the relevant client

Step 2: Start recording

  • Click "Start Recording"

  • Marloo will begin capturing audio through your device's microphone

  • A recording indicator will show that the session is active

Step 3: Stop recording

  • Click "Stop Recording" when your meeting is finished

  • Marloo will process the audio and create a transcript

Using Marloo Mobile Apps

  • Download the Marloo mobile app for iOS or Android

  • Open the app and start a new recording

  • Perfect for meetings away from your desk

  • All recordings sync back to your main Marloo account

Processing time

  • Transcripts usually appear within 1-2 minutes after the meeting ends

  • You'll see the transcript automatically populate in the meeting

Best practices for in-person recording

  • Ensure your device microphone has good access to the conversation

  • Minimise background noise where possible

  • Test your setup with a short recording first

Starting Meetings Early with "Send Marloo Now"

Begin recording when clients arrive early or you want to start ahead of schedule

Understanding the "Send Marloo Now" feature

When you have auto-join enabled, Marloo waits until the official meeting start time to join. But what if your client arrives early or you want to start recording immediately?

When to use "Send Marloo Now" Example scenario: Your meeting is scheduled for 4:30 PM, but your client arrives at 4:20 PM and you want to begin early.

How to send Marloo immediately

Step 1: Go to your meeting

  • Navigate to the upcoming meeting in your dashboard

  • Click on the meeting details

Step 2: Click "Send Marloo Now"

  • You'll see a blue "Send Marloo Now" button

  • Click this button to send Marloo to the meeting immediately

  • Marloo will join the waiting room right away, rather than waiting for the scheduled start time

Step 3: Admit Marloo

  • Marloo will appear in your meeting's waiting room

  • Manually admit Marloo to begin recording

  • Continue with your meeting as normal

Why this matters

  • Client flexibility: Handle early arrivals professionally

  • Complete capture: Don't miss important pre-meeting conversations

  • Control: You decide exactly when recording begins

Remember: You're always in control - Marloo waits in the waiting room until you admit it to the meeting.
