How to connect your calendar to Marloo to automatically record meetings

Executive Summary

Connecting Your Calendar

Outlook / Microsoft 365

  1. Go to Settings > Integrations.

  2. Click Connect next to the calendar tile.

  3. Sign in with your own Microsoft account. Do not use an IT admin's account to authenticate your calendar. Each adviser must connect using their own credentials.

  4. For Microsoft 365 organisations, your IT admin may need to approve the Marloo OAuth app in the Azure AD admin portal. This is a separate step from connecting your calendar. Every new user may need separate IT admin approval, not just the first user on the team.

  5. If your firm uses SSO (single sign-on) or a non-password authentication method, use the Sign-in options link at the bottom of the Microsoft login page rather than entering a password directly.

Google Calendar

  1. Go to Settings > Integrations.

  2. Click Connect next to the calendar tile.

  3. Sign in with your Google account and grant the requested permissions.

Other Calendars

Only Outlook and Google Calendar are directly supported. To use another calendar with Marloo (Zoho, iCloud, Acuity, etc.), set up a sync between your calendar and either Outlook or Google Calendar so that events automatically appear in one of the supported calendars.

  • Look for "sync with Outlook" or "sync with Google Calendar" in your calendar provider's settings or integrations page.

  • Alternatively, set up an auto-forward rule so that new calendar events are copied to your Outlook or Google Calendar.

  • Check your calendar provider's help documentation for specific instructions.

Auto-Join Settings

Configure auto-join in Settings > Meetings.

  • Auto-join on (default): Marloo's bot joins every virtual meeting in your calendar automatically.

  • Auto-join off: The bot never joins unless you click Send Marloo Now for a specific meeting.

  • Meetings with 6 or more participants require you to manually enable recording for that meeting, even if auto-join is on.

Meetings not appearing in Marloo

Resync your calendar - here is a quick video explaining how.
If it still does not show, disconnect and reconnect your calendar in Settings > Integrations. Check that you signed in with the correct account.

Calendar keeps disconnecting

This may follow IT security changes at your organisation. Check with your IT team.

Multiple Marloos in a meeting

Check who from your organisation has been invited to the meeting and whether they have auto-join enabled. Each adviser with auto-join on will send their own bot.

Bot left during a break

The bot exits after an extended period of silence. Use Send Marloo Now to re-invite it.

Unwanted meetings triggering the bot

Use the event-type filter on your dashboard to control which meetings the bot joins. You can also deny the bot from the waiting room.

Frequently Asked Questions

My IT admin hasn't approved the app and I can't connect my calendar.

Marloo cannot resolve this on your behalf. Your IT admin must approve the Marloo OAuth app in the Azure AD admin portal. Provide them with the approval link shown on the connection page.

Can I stop the bot joining specific meetings?

With auto-join on, deny the bot from the meeting waiting room. With auto-join off, only use Send Marloo Now for meetings you want recorded.

The bot joins internal meetings I don't want recorded.

Turn off auto-join and use Send Marloo Now for client meetings only. Alternatively, deny the bot from the waiting room for any meeting you do not want recorded.
