The Marloo bot

Why did two Marloo bots join my meeting?

Two Marloo bots in the same meeting usually has one of two causes. Whichever the cause, your recording is safe: one of the bots still captures the meeting.

Most common: two people from your firm both have auto-join on. If two people from your Marloo company are both invited to the same meeting and both have auto-join enabled, each one sends their own bot.

The fix is per-meeting, not global. Do not turn auto-join off entirely.

  1. Open the upcoming meeting in Marloo.

  2. Find the toggle that reads "Marloo will join this meeting" or "Marloo will not join this meeting".

  3. For the person who shouldn't record, set it to "Marloo will not join this meeting".

  4. Only one of the two users needs to do this.

The same per-meeting fix applies if the bot joined a meeting you didn't want recorded. Other meetings are unaffected.

Two separate Marloo companies are in the meeting. If two firms that both use Marloo are on the same call, each company's bot will attend.

Do not remove a bot from the meeting. Doing so means one party won't receive meeting minutes, and any recording would have to be downloaded from one account and manually uploaded to the other.

Let participants know there are two separate Marloo companies present. Merging accounts in this situation is handled by Marloo on request.

Can I hide the bot's tile during a Teams meeting?

No. The bot joins as an external guest, so Teams treats it as an attendee and gives it a participant tile like anyone else. There's no setting in Marloo or in Teams that hides it. Switching Teams to speaker view shrinks the bot to a small tile so it's less prominent on screen.

The bot left my meeting early. Why?

The usual causes are a waiting-room timeout, 15 minutes of continuous silence, or no other participant joining. See Marloo didn't join or record your meeting.


Transcripts and summaries

How do I fix recurring transcription errors?

Click the misheard word in the transcript, then choose Replace to fix that occurrence or Replace all to fix every occurrence in the transcript. See Edit a transcript.

I recorded a meeting in another language. Why is the summary in English?

The transcript stays in the language you recorded in, but the meeting summary is generated in English. This is expected behaviour, not a translation error. See Set your notetaker name, auto-join and transcription language.

Why does my transcript quality seem poor?

The most common causes are: background noise, Bluetooth device taking over the microphone mid-recording, or participants sitting too far from the phone. For future recordings: place the phone on the table between participants, turn off Bluetooth, and use Do Not Disturb.

When does my transcript appear, and how long is it kept?

A transcript appears 1-2 minutes after the meeting ends, with speakers labelled automatically where possible. It is kept until you delete it, unless your Account owner has set a retention period. See Delete a transcript, recording or meeting.

Why does my meeting have more than one transcript?

A meeting can hold several transcripts. They stack on the Transcript tab one after another - scroll down to see each one.

How does Marloo know who is speaking?

In Microsoft Teams, Zoom and Google Meet meetings, Marloo takes each name from the profile the person joined under, so it gets them right each time. In-person recordings have no profiles: Marloo detects distinct voices but does not recognise a voice from one meeting to the next, so rename speakers on each new transcript. Several people speaking through one device come through as a single speaker. See Speaker labels are wrong in your transcript.


Recording without the bot

Can Marloo record a phone call?

Record the call with your phone's own recorder or a recording app, then upload the file to a new meeting. See Upload a recording or record a meeting yourself, Recording Phone Calls on iPhone or Recording Phone Calls on Android.

Can I use Marloo without connecting my calendar?

Yes. If your IT team hasn't approved Marloo's calendar permissions, or you simply prefer not to connect a calendar, you can still record and summarise meetings: paste a meeting link and send the bot, upload an existing audio file, record in person on the mobile app, or paste an existing transcript. My calendar is out of date in Marloo. How do I re-sync it?

Marloo syncs with your calendar periodically, so a change you make in Google Calendar or Outlook shows up in Marloo after the next sync. To disconnect and reconnect the calendar yourself, see How to disconnect or reconnect your calendar.
