Set your notetaker name, auto-join and transcription language

Every setting that controls Marloo in your meetings - the Auto-join meetings toggle, your notetaker's name, your firm's notetaker logo, your transcription language, and the company Dictionary of keywords and spelling corrections.

Everything that controls how Marloo behaves in your meetings lives in Settings > Meetings, except your firm's notetaker logo and the Dictionary, which are company-wide. This article covers each setting, who can change it, and when a change takes effect.

Auto-join configuration

Auto-join controls whether Marloo automatically attends your scheduled virtual meetings or waits for you to add it manually each time. It is a personal setting and applies to your own meetings.

To configure auto-join, go to Settings > Meetings and use the Auto-join meetings toggle:

  • Toggle on: Marloo will automatically join your virtual meetings.

  • Toggle off: You add Marloo to meetings manually on a case-by-case basis.

Change your notetaker's name

When Marloo joins a virtual meeting on your behalf, it appears in the participant list like any other attendee. You can customise two things: the name it shows, and the logo it displays once it is in the call.

The name is set per user, so each person in your firm can choose their own. The default is Marloo AI.

  1. Go to Settings > Meetings.

  2. Find Name of your meeting notetaker.

  3. Enter the name you want, then save.

This is the name shown in the Zoom, Microsoft Teams or Google Meet participant list when the bot joins. Set a name that is recognisable to your clients.


Change your firm's notetaker logo

The logo is set once for your whole firm and can only be changed by the Account owner.

  1. Go to Settings > Company settings.

  2. Find the Logo section and upload your image.

Recommended size is 1280 x 720 pixels. JPEG, PNG, GIF and WebP files up to 10 MB are supported. The logo is shown by the bot once it is in the call.

Note: this logo is used for the meeting bot only. It does not appear on exported documents.

Note: if your firm has meeting bots turned off, these controls will not appear in Settings.


Transcription language settings

Marloo supports transcription in over 40 different languages. Transcription language is a personal setting: each user in your firm chooses their own language, and it applies only to their meetings.

Go to Settings > Meetings and open the Transcription language dropdown. It lists every supported language. Choose the primary one you use in client conversations.

Ensure you switch language settings before the meeting. If the language setting does not match the spoken language, transcription will produce no usable content - Marloo does not auto-detect languages or switch mid-meeting.

The language setting applies to future meetings only. If you change the language, previously recorded meetings will not be re-transcribed automatically.

Transcript language vs. summary language. The transcription language you set controls the language of the transcript itself. The meeting summary Marloo generates from that transcript is always produced in English, even when the meeting was conducted and transcribed in another language.


Dictionary and keywords

If Marloo frequently transcribes certain words incorrectly, you can use the Dictionary feature to improve accuracy. For words Marloo should get right every time - client names, fund names, firm terminology - go to Settings > Company Settings > Dictionary.

  1. Go to Settings > Company Settings > Dictionary.

  2. Click Add New.

There are two lists, and two ways to improve transcription:

  1. Keywords. Enter words your company uses regularly, such as your company name or industry-specific terms. This helps Marloo recognise and transcribe this vocabulary more accurately.

  2. Spelling. Toggle on "Correct misspelling", then enter how Marloo typically spells the word alongside the correct spelling. Marloo will automatically correct these in future transcriptions.

If the same misspelling keeps showing up across meetings, add it under Spelling so Marloo corrects it going forward. Add keywords and spelling corrections before a run of meetings where those terms will come up. Full steps: Company Settings.

You can re-upload transcripts from past meetings to apply your dictionary corrections retrospectively. This is useful when you add a new keyword or fix a recurring transcription error.


Frequently asked questions

I changed the language but my transcript is still in English.

Language settings apply to your own meetings and only affect future meetings. Check that the correct Transcription language is selected in Settings > Meetings. Any meetings recorded before the change will remain in the original language.

My meetings include two languages.

Set the primary language spoken in the meeting. Accuracy for mixed-language meetings may vary depending on how frequently speakers switch between languages.

I cannot find a save button in settings.

Settings save automatically. Any changes you make in Settings > Meetings are applied immediately.

My recording produced a "voice not understandable" error after upload.

This usually means the audio language does not match your transcription language setting. For example, if your setting is English but the recording is in another language, Marloo cannot process it correctly. Go to Settings > Meetings, change the Transcription language to match your recording, then re-upload the file. Previously uploaded recordings are not re-processed automatically - you need to upload again after changing the setting.
