Executive Summary
Add clients individually, via CSV upload, or by tagging them to a meeting.
Tag clients to meetings so those meetings appear in the client's profile and are accessible to Ask Marloo.
Merge duplicate client records using the three-dot menu. Merging cannot be undone.
Client tags on meetings cannot currently be removed by users. Contact support if a client was tagged incorrectly.
Adding a Client
Single Client
Click + New in the top left corner of the screen.
Select New Client.
Enter the client's email address.
You will be taken to their client profile where you can add their name and other details.
An email address is required for every client record. If the client does not have an email address, use a placeholder such as [email protected].
Bulk CSV Upload
You can upload multiple clients at once using a CSV or Excel file.
Prepare your file with three columns: First Name, Last Name, and Email.
Remove any extra columns before uploading. Only the three required columns should be present.
Navigate to Clients and click Upload Client List.
Select your file and confirm the upload.
Column headers do not need to match exactly, but the three columns must be present. If CSV upload fails, try saving the file as .xlsx and uploading that instead.
For clients without an email address, use a placeholder email (e.g. [email protected]) so the upload completes.
Couples and Joint Clients
There are two approaches for couples or joint clients:
Option A: Single record. Rename an existing client record to include both names, e.g. "John and Jane Smith". This keeps everything under one profile.
Option B: Two records, then merge. Create two separate client records. If they share an email address, use an email modifier for the second record (e.g. [email protected] and [email protected]). Then merge the two records into one.
Power of Attorney or Shared Contact
When one contact manages multiple clients (e.g. a Power of Attorney arrangement), use email modifiers to create distinct client records. For example: [email protected] and [email protected]. This keeps each client's meetings and documents separate.
Tagging a Client to a Meeting
Tagging a client to a meeting links that meeting to their client profile. This is essential for Ask Marloo and the Client Overview to work at the client level.
Open the meeting.
Click the attendee icons at the top of the meeting.
Click Add a Client.
Search for the client by name and select them. If the client does not exist yet, you will see the option to create a new client.
Why it matters: Untagged meetings do not appear in the client's profile and are not accessible to Ask Marloo at the client level. If a meeting is missing from a client's profile, check whether the client has been tagged.
Note: Client tags on meetings cannot currently be removed by users. If a client was tagged to the wrong meeting, contact support with the meeting name, correct client, and meeting time.
Merging Clients
If you have duplicate records for the same client (e.g. from different email addresses), you can merge them.
Go to Clients and find the client you want to merge into another.
Click the three-dot menu on the client record.
Select Merge Client.
Search for the target client record and confirm.
All meetings, uploads, and emails from both records will be combined into a single profile.
Warning: Merging cannot be undone. Verify you are merging the correct records before confirming.
Renaming a Client
Go to Clients and select the client.
Click directly on their name at the top of the profile.
Edit the name and save.
Hiding Non-Client Contacts
Your client list may include personal contacts, team members, or other non-clients pulled in from your calendar. To hide them:
Hover over the person you want to hide.
Click the three-dot menu and select Hide this person.
To reduce non-client contacts appearing in the first place, use the personal events filter on your meetings dashboard. Click the filter icon on the Meetings tab and toggle off Personal Events.
To view hidden clients, click the filter icon next to the Clients title and select Show hidden clients. To restore a hidden client, hover over them and click Show this person.
FAQs
A Zoom "no reply" address appears as a client.
This happens when a Zoom "no reply" address is included in meeting invites. Contact support to have the record removed.
Two meetings are under the wrong client.
Contact support with the meeting name, the correct client, and the meeting time. Support will move the meetings to the correct profile.
Can I delete client records in bulk?
Not currently. Client records must be managed individually.
Can I export my client list?
Not currently. You can copy client details manually from each profile.
