What clients can I see through ‘Clients’ view and how can I filter clients?

The ‘Clients’ view automatically pulls through anyone you’ve interacted with via your integrated calendar. This could include:

  • Existing clients

  • Prospects

  • Team members

  • External contacts from your wider network

  • Even personal contacts

We understand you may only want to see actual clients, so here’s how to filter:

1. Hiding non-clients

  • Hover over the person you don’t want to see.

  • Click on the three dots and select “Hide this person.”

  • Repeat this for any non-clients you don’t wish to appear in your ‘Clients’ view.

2. Viewing hidden clients

  • To see all hidden clients, click the filters icon (next to the “Client” title).

  • Select the checkbox “Show hidden clients.”

  • This will display everyone you’ve previously hidden.

3. Restoring hidden clients

  • Hover over the person you want to bring back.

  • Click “Show this person.”

  • They will now reappear in your ‘Clients’ view.

If I work in a team that is synced through Marloo, will I see all of my firm’s clients in ‘Clients’ view?

Yes. When your team is synced through Marloo (i.e. you all fall under the company umbrella), the default view in ‘Clients’ view shows the entire team’s list of clients. This is because, when you connect your calendar, Marloo pulls through everyone from all synced team calendars.

You can choose how you’d like to view clients:

  • Your clients only → shows just the people you’ve personally met with.

  • All team clients → shows everyone across the team that has been met with.

To toggle between these two options, simply click on the filter icon next to the Client title and switch the setting for “Show all firm clients.”

This gives you the flexibility to focus on your own client list or broaden your view to the full team’s network whenever you need.

At present, there are no controls that allow advisers to limit which clients support staff can view when toggling “Show all team clients.” However, this functionality is on our roadmap and will be rolled out in due course, enabling more granular control over visibility and permissions.

How to add a new client to ‘Clients’ view?

In most cases, you don’t need to manually add a client, if the meeting already has an email address associated with it (for example, if you sent the calendar invite directly to the client outside of Marloo), the client will automatically appear in the ‘Clients’ View tab.

If you do need to add a client manually, for example, after an ad-hoc phone call or a meeting that wasn’t scheduled in your calendar, you have two options:

Option 1: Create a new client

  1. Click “+ New” in the top left corner of the screen.

  2. Select “New Client.”

  1. Enter the client’s email address.

  2. You’ll be taken directly to their ‘Clients’ view tab.

  3. From there, add the client’s name and any other details.

Tip: Tagging clients ensures all meetings and notes appear under the right client record. For more details, see: How do I tag a client to a meeting?

Option 2: From a meeting

  1. Open a meeting you’ve already had (or create a new one).

  2. Go to the Attendee list.

  3. Select Tag Client.

  1. Search for the client’s name.

    • If they are already in your ‘Clients’ view, just select them.

    • If they are not yet in your system, you’ll see the option to Create a new client.

  2. Enter their email address.

  3. The new client will be created and automatically linked to the meeting and visible in the ‘Clients’ View tab.

How to tag a client to a meeting?

If you’ve had a meeting with a client but it isn’t appearing in the ‘Clients’ view tab, it may be because the client hasn’t been tagged to that meeting.

Here’s how to tag them:

1. Go to your Meetings

  • Click on the “Meeting” tab on the left-hand side.

2. Select the meeting

  • You can either search for the meeting or locate it in your list.

  • Once found, click to open the meeting details.

3. Add attendees

  • Click on the colored circles showing the initials of the attentees “Add Attendees.”

  • Click “Tag a client” and search for the relevant client by name.

4. Confirm

  • Once tagged, and after the meeting has been summarised, it will automatically appear in the ‘Clients’ view.

How are meetings, notes, and documents stored in Client View?

The ‘Clients’ view is designed to keep everything organised chronologically so you can easily find the most relevant information.

  • Meetings → Stored by the date the meeting was held, with the most recent shown first. (Note: this is based on the actual meeting date, not the date you generated the summary.)

  • Notes → Stored in order of date created, making it simple to track the latest updates.

  • Files → Stored by the date of upload, ensuring you always know when a document was added.

This structure ensures all client interactions and materials are easy to access and review in a logical order.

Am I able to link clients together (e.g. client and partner) within the ‘Clients view tab?

Not yet - right now, each client has their own separate file in Marloo.

But this is on our roadmap. Soon you’ll be able to link clients and partners under a single client file, making it easier to view their meetings, notes, and documents all in one place.

Can I add and summarise meetings directly through the ‘Clients’ view tab?

Yes, you can. This is especially useful for ad-hoc client interactions such as phone calls, or when no meeting has been diarised in your calendar.

Here’s how:

1. Go to the ‘Clients’ view tab

  • Select the relevant client.

2. Add a new meeting

  • Under the “Meetings” section, click “Add Meeting.”

  • A new meeting record will be created.

3. Capture the details

  • You can start recording, upload transcripts, or paste transcripts directly into the meeting.

  • Once added, Marloo will summarise it just like a regular calendar-based meeting.

What documents are supported within the ‘Files’ section of ‘Clients’ view?

The Files section is designed to be flexible so you can keep all client-related materials in one place.

  • We support all common document types including PDF, Excel, Word, PowerPoint, HTML, and more.

  • Both text-based PDFs and scanned PDFs are supported.

This means you can upload virtually any file relevant to a client, such as factfinds, suitability reports, portfolio valuations or mortgage statements, and it will be securely stored and easily accessible within their ‘Clients’ view.

Is there a restriction on the number of documents that can be uploaded or stored within the ‘Files’ section of Marloo?

No, there is currently no restriction on the number of documents that can be ingested and analysed through Marloo. You are also able to upload up to 20 documents directly to Marloo at one time.

You can also upload multiple documents at once:

Option 1:

  • Click “Upload Document.”

  • Select or highlight all the documents you want to add.

  • Click Enter to upload them together.

Option 2:

  • On your desktop, select multiple files at once.

  • Simply drag and drop them directly into the interface within the Files tab of ‘Clients’ view.

All uploaded documents will be stored securely within the client’s Files section for easy access.

Am I able to group documents uploaded into ‘Clients’ view?

At present, you are not able to group files together within Client View. All uploaded documents will be displayed in chronological order, based on their date of upload.

Will notes/documents uploaded to an individual meeting pull through to the ‘Clients’ view?

Not right now. Any notes or documents uploaded to a specific meeting will stay attached to that meeting only.

However, the meeting summary will automatically appear in the ‘Clients’ view, so you’ll always have a high-level record of the discussion in one place.

This is an area we’re actively working on, and in future you’ll be able to see all meeting uploads (notes and documents) directly within the ‘Clients’ view.

Can I see my Ask Marloo AI history?

Yes. Ask Marloo keeps a record of every question you’ve asked along with the responses, so you can easily revisit past interactions.

If you’d like to start fresh, simply:

  • Click the three dots in the top-left corner of the chat.

  • Select “Clear Chat.”

Please note: If you clear the chat, you will not be able to re-access this information. You will need to re-ask your questions for Marloo to generate responses again.

Can I turn ‘Clients’ view off?

‘Clients’ View is part of Marloo’s product offering and cannot be disabled directly in the platform.

If you wish to turn off or restrict access to ‘Clients’ view, please reach out to a member of the Marloo team who can assist you.

Does "Ask Marloo" access any external information or is it a closed system?

"Ask Marloo" is designed as a closed system regarding your client's information, while also having the unique ability to fetch public, non-sensitive information to provide you with the most current insights.

Think of it like this: your client information is kept in a locked box. Separately, to give you the best answers, "Ask Marloo" can also look up general facts from the public internet, just like you would on Google.

It then uses those public facts to help you make sense of the information that's already in your client file. For example, it can look up this year's tax rates online, and then tell you how that affects the client info you've stored.

How is my client data protected and secured within Marloo?

We are building Marloo to be unbreakable, this means attaining the highest certifications possible. Drawing from our experience in consumer financial services, we have begun with SOC2 Type 2 and will continue to broaden our efforts.

  • SOC 2 certification: We currently hold SOC 2 Type 2 certification. This is a global standard cybersecurity compliance framework that assesses Marloo's security controls related to data protection that requires an independent audit to achieve. In addition to this, we’ve gone above and beyond to ensure our security and compliance measures are robust. We deeply appreciate the trust advisers place in Marloo and are always happy to share more about the continued investment we are making in this area.

How can I trust the accuracy of answers from "Ask Marloo"?

Accuracy and transparency are foundational to "Ask Marloo". We have built in several features to ensure you can trust the output:

  1. Source Citations: Every piece of information provided from your records is accompanied by a direct link to its source document, meeting, or note. You can instantly click to verify the context and accuracy yourself.

  2. Transparency in Reasoning: For complex queries that require synthesising information, the AI will explain its reasoning and show its work, so you understand how it reached a conclusion.

  3. Clear Boundaries: The AI is trained to be cautious. If the information is ambiguous or unavailable in the provided context, it will state that clearly rather than making an assumption.

  4. Professional Liability: "Ask Marloo" is a powerful productivity and analysis tool designed to augment your expertise, not replace it. All information should be reviewed for accuracy as part of your regulated advice process.

Why isn't "Ask Marloo" finding information from a document I just uploaded?

If “Ask Marloo” isn’t returning results from a recently uploaded document, it’s usually due to one of the following reasons:

  • Processing delay → Documents need a short time to process before becoming searchable. If you just uploaded it, wait a minute and try again.

  • Question phrasing → If your query is too broad or unclear, try making it more specific. For example, instead of “Tell me about performance”, ask “What was the portfolio’s performance over the last 12 months?”

  • File quality → Scanned PDFs or images may not extract text correctly. Where possible, upload clean, text-based formats (Word or searchable PDFs).

  • Upload location → Double-check the file is saved under the correct client’s Files tab. If uploaded to the wrong client, Marloo won’t connect it.

Can "Ask Marloo" perform calculations or analysis on financial data?

Yes. Ask Marloo can perform performance calculations and financial analysis, using exact client data from your uploaded documents and latest meetings. Each answer includes:

  • Transparent citations showing where the data came from.

  • Workings and assumptions clearly explained.

  • Prompts for missing data - if something is unavailable, I’ll either ask you for it or use industry-standard assumptions, which are always flagged for clarity.

What if a client has multiple email addresses? How does Marloo handle that?

This is a common scenario, and Marloo is designed to help you maintain a clean, single client view. Initially, meetings with different email addresses may create separate client entries. However, you can easily consolidate these by selecting the one email address that you want to associate the client with, and tagging all meetings with that client.

How do I edit a client's name or other details?

To update a client’s name (or other details):

  1. Go to the ‘Clients’ view tab.

  2. Hover over and click on the client you wish to edit.

  3. Click directly on their name to begin editing.

  4. Make your changes.
