How to get the most out of utilising ‘Clients’ view

What is the ‘Clients’ view?

‘Clients’ view unlocks Ask Marloo AI across the full context of the client. It does this by creating a dedicated area within Marloo, designed to bring together all client information in one easy-to-access place. It gives you a complete and centralised record that includes:

  • A timeline of past meetings summarised through Marloo

  • Any client-specific notes

  • Any client-specific documents

Now, you are able to increase the context window beyond an individual meeting. It allows you to ask anything across all stored information - every meeting transcript, every uploaded document, and every note you've ever made:

  • Instantly find a critical detail from a conversation years ago.

  • Track a client's evolving goals.

  • Generate a summary of their entire financial journey.

It transforms your archive into an active, instantly searchable knowledge base.

How to use ‘Clients’ View?

‘Clients’ View is designed to give you a single, easy-to-navigate space for managing all client interactions and information. Here’s how to make the most of it:

1. Accessing ‘Clients’ View

  • Click “Clients” on the left-hand side of the screen.

  • You’ll be taken to the ‘Clients’ tab, which automatically displays everyone you’ve had a meeting with since you integrated your calendar (Filtering options are explained later on this page.)

  • Clients are listed alphabetically.

2. Viewing Client Meetings

  • Select the client you want to view.

  • You’ll see a list of all previously summarised meetings held through the Marloo interface, each with a brief summary of what was discussed.

  • To read the full meeting summary, simply click on the meeting.

3. Adding Notes

  • Use the “Notes” section to keep track of anything important to the client, such as compliance restrictions or investment preferences.

  • Currently, only text notes are supported (no voice dictation).

  • To add a note, click “Add Note.”

4. Uploading and Managing Files

  • Under the “Files” tab, you’ll find any document ever uploaded for that client.

  • Drag and drop documents onto the file page to sync and upload them. You can also click "Upload Document" if you want to select from a specific file or folder.

Please note, you are able to upload multiple documents at once. You can even upload a whole folder, which will upload all files within (including any sub folder).

5. Using Ask Marloo AI

  • Once you’ve held meetings, uploaded documents, or added notes to build enough client context, just hit the blue “Ask Marloo AI” button in the top right corner.

  • Now you can Ask Marloo anything! This works across all stored information for that client - every meeting transcript, every uploaded document, and every note you've ever made. Instantly find a critical detail from a conversation years ago, track a client's evolving goals, or generate a summary of their entire financial journey.

How does the Ask Marloo function work?

The Ask Marloo AI function works much like it does at a meeting level, but within ‘Clients’ view it has access to a much broader context window, covering the client’s entire history, not just a single meeting.

It opens an interactive chat between you and the Marloo AI Assistant, allowing you to ask critical questions such as:

  • “What did we discuss in our last meeting?”

  • “What was their biggest concern from our meeting in January]?”

  • “Give me a breakdown of the portfolio performance over the last 12 months.”

  • “What property were they going to purchase?”

  • “How is their mortgage structured”

  • “Give me an agenda for our next meeting”

  • “Which bank did they have term deposits with?”

How it responds:

  • If the answer is clear-cut, Marloo will tell you directly.

  • If the answer can be inferred from different pieces of information, Marloo will explain its reasoning before giving the answer.

  • If the answer cannot be determined, Marloo will confirm this and ask for more detail.

Importantly, Marloo will always show you which meeting, document or note it sourced information from when providing an answer.
