Upload, find and organise files on a client

How to get documents onto a client and find them again - what to upload, requesting files from the client, searching, sorting by name or date, and how files behave on a group compared with an individual member.

Written by Jessica Zhan

The Files tab is where every document you hold on a client lives, and the more you put there the more Ask Marloo and document generation have to work with. This article covers what to upload, how to find a file again, and how files behave on a group compared with an individual.

Upload files to a client

Open Files on the client and click Upload Documents to add files, or drag and drop documents directly into the Files area.

The more you upload, the more powerful Ask Marloo and document generation become. Suggested files include:

  • Fact finds

  • Risk profiles

  • Productrex reports

  • WealthSolver reports

  • Risk Researcher reports

  • Product disclosure statements (PDS)

  • Previous SOAs/ROAs

  • Financial statements

All common document types are supported, including PDF (text-based and scanned), Word, Excel, PowerPoint, and HTML.

Where client upload links are enabled for your firm, you can also click Request on the Files tab to ask the client to upload files themselves.

A file has to be read and analysed before Marloo can use it. If a file is sitting at Not yet analysed or Processing failed, see A file, meeting or insight is missing from a client.

Search for a file

Open Files on the client and use the search. It matches file names, not the contents of the files, so search for the name the file was saved under.

Sort and filter

You can order files by:

  • Name

  • Created date - when the file was added to Marloo

  • Updated date - when the file was last changed

Each can be ordered ascending or descending.

Hover over a file's date to see both the uploaded date and the effective date side by side.

Files on a group and its members

  • In a group, Files shows every member's files, each attributed to the person it belongs to. Open an individual's profile and you'll see their own files plus anything uploaded on the group.

  • Files uploaded on the group appear on every member's profile as well. A member's own files do not appear on other members' profiles.

  • Hover the icon on a group file to see which person it belongs to.

  • You cannot move a file after upload. Download it and upload it again on the right profile.

  • Linked Microsoft 365 folders follow the same rule. See Connecting Microsoft365 (SharePoint).
