Connecting Microsoft365 (SharePoint)

How to connect your Microsoft 365 account to Marloo for OneDrive and SharePoint file sync.

Marloo syncs with Microsoft 365, allowing you to link folders from OneDrive or SharePoint to a client in Marloo.

How to Connect

  1. Log in to your Marloo account at app.marloo.com.

  2. Navigate to Settings > Integrations.

  3. Under Files, click Connect Microsoft 365.

  4. You’ll be redirected to Microsoft’s sign-in page. Log in with your work Microsoft account.

  5. Review the permissions on the consent screen and click Accept.

  6. You’ll be redirected back to Marloo. Microsoft 365 should now show as connected.

Linking a folder

Link folders manually or let Marloo find suggested matches with 'Discover Folders'.

  1. Navigate to Settings > Integrations > Microsoft 365 and click on the card to show your full client list

  2. Next to each client, click on 'Link folder' and paste the link to the OneDrive or SharePoint folder you want Marloo to sync.

  3. Click on 'Discover folders' to let Marloo find and suggest client folders to link. Review each suggestion and accept or reject using the tick/cross buttons.

    Discovery may take a few minutes and keeps running in the background. You can leave the page and come back.

Folders can be linked for both groups and individuals. Link shared files on the group only. Link personal files on the person only. A folder linked only to the group stays on the group. It does not appear on a member's Files tab. If you link the same folder to both, duplicates will appear.

Unlinking a folder

You can unlink a OneDrive or SharePoint folder from one client without disconnecting Microsoft 365 for your organisation.

  1. Open the client profile.

  2. Go to the Files tab.

  3. Click Add.

  4. Click Update Microsoft 365 folder.

  5. Click Unlink folder.

What Permissions Does Marloo Request?

Marloo does not request write access to your Microsoft 365 files. We can read synced files, but we cannot create, edit, move, or delete files in your Microsoft 365 account.

How Marloo Uses Your Data

Once connected, Marloo uses Microsoft 365 file access to:

  • Link OneDrive and SharePoint folders to specific clients.

  • Sync supported files from those folders into the client’s knowledge base.

  • Keep Marloo updated when files in the linked folder change.

  • Make client documents available for search, summaries, and client-specific workflows inside Marloo.

Your data is transmitted securely and synced using Microsoft Graph.

How Syncing Works

Marloo syncs the 200 most recent files when you first link a folder. Those files appear quickly. New and changed files sync automatically, roughly every 10 to 15 minutes. If you edit or rename a document in SharePoint, the change is picked up on the next sync cycle including the most recent filename.

To sync sooner, open the client profile, go to Files, find the linked OneDrive or SharePoint folder, and click the sync button next to it. That usually updates within about 20 seconds.

Marloo does pull files from sub-folders that sit inside the linked folder, but it does not mirror the folder structure. Every synced file, including files from sub-folders, appears together in that client’s Files tab as a single flat list rather than as nested folders.

Files older than the 200 most recently modified at the time of connection are not automatically backfilled. To include older files, drag and upload them directly into the client’s Files tab in Marloo.

If files are still missing after 24 hours, contact support. Include the SharePoint folder path and the number of files you expect to see.

A linked OneDrive or SharePoint folder syncs up to 200 files. If the folder holds more than that, the remaining files are not brought across.

Individual files larger than 50 MB are skipped. Large PDFs of scanned documents are the usual culprit. Compress or split the file in SharePoint, or upload a smaller version straight into the client’s Files tab.

Troubleshooting

Avoid linking the same folder twice

If you see the same SharePoint or OneDrive files twice, it could be that the folder is linked to a group and also to a person in that group. Marloo imports the files twice, and duplicates appear.

If the extra copy is already there, unlink it from the profile that should not have it. Marloo removes the files it imported from that link. The copy on the other profile stays.

Couldn't link folder

If you see Couldn't link folder, it can happen for a few reasons. You might be signed in with a personal Microsoft account, your admin may need to approve the connection, or the folder may not be a SharePoint or OneDrive folder.

Sign in with your work Microsoft 365 account and try again.

A File Appears in Marloo Under a Different Name

If you rename a synced file in SharePoint or OneDrive, Marloo picks up the new name on the next automatic sync (usually within 10 to 15 minutes). To update sooner, open the client profile, go to Files, and click the sync button next to the linked folder - that usually takes about 20 seconds.

Marloo matches files by their contents, not their names. If a file with the same contents is already in the client’s knowledge base, we don’t upload a second copy. You don’t need to re-upload a renamed file.

If the name still hasn’t updated after a sync, or you can’t work out which Marloo file matches which SharePoint file, contact support with the SharePoint filenames and we can map them for you.

“Need Admin Approval” Prompt

If you see a screen that says “Need admin approval” after clicking connect, your organisation’s Microsoft 365 administrator has restricted users from authorising third-party applications.

You’ll need to ask your IT administrator to grant consent for Marloo. You can forward them the following details:

  • What’s needed: Admin consent for the Marloo OAuth application

  • Client ID: 1ecb4697-1fd9-4f44-83b4-c0bbe70927d8

  • Permissions requested: Files.Read.All, Sites.Read.All, User.Read, offline_access, profile, openid

Your admin can grant consent by visiting this URL, replacing {tenant-id} with your organisation’s Azure tenant ID:

Alternatively, the admin can adjust user consent settings in the Azure Portal under Entra ID > Enterprise Applications > Consent and permissions > User consent settings and enable consent for verified publisher apps requesting low-risk permissions.

Once admin consent is granted, users in the organisation should be able to connect Microsoft 365 without seeing this prompt.

For IT Administrators

Marloo uses OAuth 2.0, Microsoft’s standard authentication protocol, to connect to Microsoft 365.

Marloo is not a pre-registered enterprise gallery app in Microsoft Entra. Users authorise access individually via standard OAuth, or an administrator can grant organisation-wide consent using the admin consent URL above.
