Microsoft 365 Requirements for Marloo

Everything you need to know before connecting your Microsoft 365 account to Marloo

Marloo integrates directly with Microsoft 365 to sync your calendar, record meetings, and join Microsoft Teams calls as your meeting note-taker. This article outlines the account requirements, permissions, and settings needed for a smooth connection.


Calendar Integration Requirements

Marloo syncs with your Outlook calendar to pull through your scheduled meetings. For this to work correctly, the following conditions must be met.

What you need:

  • An active Microsoft 365 account with Outlook calendar access

  • Calendar events must include a meeting link (for virtual meetings) or be marked as in-person to appear correctly in Marloo

  • Your calendar must not be restricted by your organisation's data access policies (see Admin Permissions below)

What Marloo syncs:

  • Meeting title and date/time

  • Attendee names and email addresses (where included in the calendar invite)

  • Video conferencing links (Microsoft Teams, Zoom, Google Meet)


Microsoft Teams Requirements

For Marloo to join and record your Microsoft Teams meetings, the following settings must be in place.

Meeting settings:

  • Lobby settings: Marloo joins your Teams meeting via the waiting room. You must be able to admit participants from the lobby. If your organisation has disabled the lobby or set it to bypass automatically for all participants, Marloo may not be able to join as expected.

  • Guest access: If Marloo is joining as an external participant, your Teams tenant must allow guest access. This is typically managed by your IT administrator under Teams Admin Centre > Org-wide settings > Guest access.

  • Recording permissions: Marloo handles recording independently of Microsoft Teams' native recording feature. You do not need Teams recording enabled for Marloo to function.

Recommended Teams lobby settings:

For the smoothest experience, set your meeting lobby to "People I invite" or "Everyone in my organisation and guests." Settings that require everyone to wait in the lobby give you the most control over when Marloo joins.


Admin Permissions and IT Considerations

In some organisations, IT administrators control which third-party applications can connect to Microsoft 365. If you are unable to complete the Marloo-Microsoft 365 integration, your administrator may need to grant consent.


​What your IT administrator may need to do:

  1. Grant admin consent for Marloo's application within your Microsoft 365 tenant. This allows Marloo to access calendar data on behalf of users in your organisation.

  2. Review Conditional Access policies to ensure they do not block Marloo's authentication requests.

  3. Whitelist Marloo's application if your organisation restricts third-party app access via Azure Active Directory (Azure AD) app consent policies.

Marloo does not request write access to your calendar or mailbox.

Browser Requirements

Marloo is a web-based platform and is supported on the following browsers:

  • Google Chrome (recommended, latest version)

  • Microsoft Edge (latest version)

  • Safari (latest version, macOS only)

  • Mozilla Firefox (latest version)

For the best experience, we recommend using Google Chrome or Microsoft Edge with automatic updates enabled.

Not supported:

  • Internet Explorer (any version)

  • Older browser versions that do not support modern web standards


Network and Firewall Requirements

If your organisation uses a firewall or content filtering system, ensure the following Marloo domains are not blocked:

  • *.gomarloo.com

  • *.marloo.com

If your IT team requires a full list of IP ranges or domains to whitelist, please contact Marloo Support and we will provide the relevant documentation.


Troubleshooting Common Microsoft 365 Issues

My Outlook calendar isn't syncing with Marloo

  • Confirm you have signed into Marloo using the same Microsoft 365 account linked to your Outlook calendar.

  • Check whether your organisation's IT policies restrict third-party calendar access. Your IT administrator may need to grant consent (see Admin Permissions above).

  • Try disconnecting and reconnecting your calendar via Settings > Meetings > Calendar Integration.

Marloo isn't joining my Teams meetings

  • Confirm that your Teams meeting has a lobby enabled and that you are able to admit participants manually.

  • Check that guest access is enabled in your Teams tenant settings.

  • Ensure the Teams meeting link appears in your Outlook calendar invite, as Marloo uses this to locate the meeting.

I'm receiving an authentication error when connecting Microsoft 365

  • This is most commonly caused by admin consent not being granted. Ask your IT administrator to approve Marloo's access within your Microsoft 365 tenant.

  • If the issue persists, contact Marloo Support with a screenshot of the error message.
