Executive Summary

Creating a Task Template

Task templates are managed under the Templates section. Each template stores everything needed to recreate a structured task - dates, priority, and subtasks included.

  1. Navigate to Templates > Tasks in the left sidebar.

  2. Click + Add task template.

  3. Enter a title and description for the template.

  4. Set relative date rules for the remind date and due date. Enter a rule such as +1 week or +2 weeks from creation, then click Apply to confirm each one. Dates that have not been applied will not be saved with the template.

  5. Set the priority.

  6. (Optional) Add subtasks to break the task into steps - type each subtask and hit Enter to save it.

  7. Click Create template to save.


Using a Task Template

Once a template is saved, you can create a task from it in the Tasks view. Marloo auto-populates the fields based on the template rules.

  1. Go to Tasks > + New > From template.

  2. Select the template you want to use.

  3. Assign a client and a team member.

  4. Marloo will auto-populate the due date, remind date, priority, and subtasks based on the template rules. Dates are calculated from the creation date.


Tips

  • Always click Apply after setting a relative date. If you select a date rule but don't click Apply, the rule won't be saved to the template.

  • Use task templates for recurring workflows. Annual review follow-ups, new client onboarding steps, and fee disclosure statement reminders are all good candidates.

  • Break complex tasks into subtasks. Subtasks make it easier to track progress on multi-step processes and delegate individual steps to different team members.

  • Filter by Assignee or Client in the Task view to quickly find tasks created from a template, especially after onboarding a new client.


Troubleshooting

Problem

Solution

Dates are not applying when I create a task from the template

Open the template and check that each date rule has been confirmed with Apply. A rule that was entered but not applied will not be saved. Re-enter the rule, click Apply, then click Create template again.

Subtasks are not showing on the created task

Confirm the subtasks were added before saving the template. Open the template to verify they are listed. If they are missing, re-add them, then save.

I can't find the task after creating it from a template

Go to Tasks and use the Assignee or Client filters to locate the task. It may have been assigned to a different team member or client than expected.

The "From template" option is not appearing under + New

Confirm you have at least one saved task template under Templates > Tasks. The option only appears when templates exist.
