Executive Summary
Templates are organised into Meetings, Documents, and Tasks, with sub-tabs for Team and Personal use
You can adjust the colour, icon, and name of your templates to keep your templates organised and easy to navigate.
Every template shows who shared it, who last updated it, and when - so you always know who changed what.
Use Save a Copy before editing a shared template - changes to a shared template affect everyone using it.
Sharing a template locks it by default; use Allow Team Edits under Options to permit changes.
To delete a template, you must hide it first - deletion is a two-step process.
Every adviser can maintain personal templates that are never visible to the team.
Navigating the Templates Interface
The templates section gives you a unified view of everything available to you, organised into clear tabs.
Team and Personal Tabs
Templates are organised into two top-level sections:
Team - Templates shared across your organisation that everyone can access.
Personal - Your private templates that only you can see and use.
Template Type Tabs
Within each section, templates are split into three type tabs:
Meetings - Templates that control the structure of meeting summaries.
Documents - Templates that control how Marloo generates advice documents.
Tasks - Templates that define pre-built task structures.
Each tab shows only templates of that type, so you can quickly find what you need.
Template Metadata
Each template has metadata fields - colour, icon, category (advice type), and name - that appear on the template card and help you quickly identify the right template.
To update metadata, open the template and edit the fields at the top of the editor. Changes save automatically.
Category (Advice Type)
The category field maps your template to an advice type - for example, Risk Insurance, Superannuation, or Annual Review. Assigning a category lets you filter and organise your template list by advice type.
Note: You can only change the category on templates you created. Categories on Marloo default templates are locked and cannot be changed.
Searching and Organising Templates
Searching by Name
Use the search bar at the top of the templates list to find a template by name. The search filters in real time as you type. If you have a large number of templates, clear naming conventions (e.g., "Annual Review - Insurance Focus") make search significantly faster.
Organising by Category
Use the category filter to view only templates belonging to a specific advice type. This is useful when switching between different meeting types throughout the day. Assign categories consistently across your team to get the most from this view.
Who Updated What
Every template shows clear attribution so you always know who is maintaining your templates:
Shared by - The person who originally shared the template with the team.
Updated by - The person who most recently made changes.
Last updated - When the most recent change was made.
This visibility helps teams track who is maintaining templates, identify recently updated templates, and maintain accountability for template changes.
Default Templates
When your company is set up, Marloo automatically creates relevant default templates based on the type of advice you offer. These are shared as team templates by default, so everyone on your team has immediate access to industry-standard templates.
Duplicating a Template (Save a Copy)
Use Save a Copy to create a duplicate of an existing template. This is the safe way to experiment or personalise a shared template without affecting the version your team is using.
Open the template you want to duplicate.
Click the three-dot menu ( ⋯ ) in the top right of the template editor.
Select Save a Copy.
The copy is saved to your personal templates. Rename it to distinguish it from the original.
Never edit a shared team template directly unless you intend the change to affect all advisers using it. Use Save a Copy first if you are testing or personalising.
Sharing a Template with Your Team
Templates are personal by default. Use Share with team to make a template visible to everyone in your organisation.
Open the template.
Click Share with team.
The template moves to the Team tab and is visible to all team members.
Once shared, a template is locked by default - team members can view and use it, but cannot edit it. This prevents unintended changes to a template that others rely on.
Allowing Team Edits
If you want team members to be able to edit a shared template, turn on the Allow Team Edits toggle. You'll find this under the Options section of the template editor.
With Allow Team Edits on, any team member can modify the template. Turn it off again to re-lock the template.
Making a Template Private
To remove a shared template from the team view, use Make Private. This moves it back to your personal templates and removes it from the Team tab for all other team members.
Open the shared template.
Click the three-dot menu ( ⋯ ).
Select Make Private.
Making a template private does not delete it. It simply removes it from the team view. Any summaries or documents already generated using that template are not affected.
Hiding Templates
Hiding a template removes it from the active template list without deleting it. Hidden templates drop to the bottom of the templates list and are visually separated from your active templates.
In the templates list, locate the template you want to hide.
Click the three-dot menu ( ⋯ ) on the template card.
Select Hide.
To unhide a template, scroll to the bottom of the templates list, find it in the hidden section, click the three-dot menu, and select Unhide.
Deleting a Template
Deleting a template is a two-step process. You must hide the template first before the delete option becomes available.
Hide the template (see above).
Scroll to the hidden templates section at the bottom of the list.
Click the three-dot menu ( ⋯ ) on the hidden template.
Select Delete.
Deletion is permanent. If you are unsure, keep the template hidden rather than deleting it - hidden templates do not clutter your active list but can be restored at any time.
Accessing the Source File
If a template was built from an uploaded file (such as a Word document or PDF), you can download the original source file from within the template editor.
Open the template.
Look for the file icon in the dropdown at the top of the editor.
Click the file icon to download the original source document.
This is useful when you need to share the source document with a team member or make bulk edits outside of Marloo before re-uploading.
Personal Templates
Every adviser can create and maintain their own personal templates independently of the team. Personal templates are only visible to you - they never appear in the Team tab unless you explicitly share them.
Personal templates are useful for:
Testing: Try out structural changes or new AI instructions without risking the team's version.
Personalised style: Build a template that matches your individual documentation preferences.
Niche meeting types: Cover meeting types that are specific to your client base and not relevant to the broader team.
There is no limit on the number of personal templates you can create. Use them freely - they have no impact on what other advisers see or use.
Best Practices
For Admins
1. Set up default templates first. Review the templates Marloo creates automatically and customise them for your firm before your team starts using them.
2. Lock critical templates. Use the "Prevent team edits" feature for templates that should remain consistent, like compliance-focused templates or firm-standard formats.
3. Consider disabling personal template creation. For larger teams, this prevents template sprawl and ensures everyone uses approved templates.
4. Regularly review the templates list. Check who's updating templates and ensure changes align with your firm's standards.
For Advisers
1. Check team templates first. Before creating a new template, check if one already exists that meets your needs.
2. Use the right template for each meeting type. Different meeting types may have specific templates designed for them.
3. If you need changes to a locked template, contact your admin to request modifications.
4. Share useful templates. If you create a personal template that works well, consider sharing it with your team (if you have permission).
Troubleshooting
Problem | Solution |
Can't delete a template | You must hide the template first. Deletion only becomes available after hiding. Scroll to the hidden section at the bottom of the templates list, then delete from there. |
Can't find a hidden template | Hidden templates appear at the bottom of the templates list, below your active templates. Scroll down past your active templates to find the hidden section. |
A change to a shared template has affected everyone | Shared templates are visible and (if Allow Team Edits is on) editable by the whole team. Use Save a Copy before making changes you don't intend to share. To protect the template from further changes, turn off Allow Team Edits under Options. |
Template metadata (name, colour, icon, category) is not updating | Ensure you are saving changes after editing metadata fields. If the template is locked (shared with Allow Team Edits off), you will not be able to update metadata unless you are the owner or an admin. Contact your admin if you need metadata updated on a locked template. |
