Executive Summary
Add text notes, voice notes, and documents to meetings to give Marloo richer context for better answers.
Voice notes currently enhance meeting summaries only. They are not pulled through to client-level queries or document generation.
At the meeting level, Marloo can query your transcript, notes, and uploaded documents for that specific meeting.
Support staff can open any meeting and ask Marloo for their action items or a quick briefing.
What You Can Do with Ask Marloo in Meetings
Open the Ask Marloo chat from within a meeting to ask questions about that specific meeting's content.
Query Meeting Content
"What risk profile did the client indicate?"
"What action items were agreed?"
"Summarise the key decisions from this meeting."
Draft Follow-Up Communications
"Draft a follow-up email summarising what we agreed today."
Then click the compose button and choose Gmail or Outlook to open the draft in your email client.
Extract Specific Details
"What was the employer contribution rate discussed?"
"List all funds mentioned in this meeting."
"What insurance cover did the client say they currently hold?"
Enhancing Your Meeting Context
The more information you provide, the better Marloo and your summaries will be. You can add context before, during, or after a meeting.
Adding Text Notes
Open your meeting and navigate to the Notes section. Type directly into the notes field.
Text notes are useful for:
Pre-meeting context about the client's situation or discussion topics
Details not captured in the audio, such as visual information shared on screen
Post-meeting observations while they are still fresh
Notes can be added at any time. If you add notes after a summary has been generated, regenerate the summary to incorporate them.
Adding Voice Notes
Click the microphone icon in the notes area and dictate your observations. Voice notes are transcribed automatically and added to the meeting context.
You can record voice notes before, during, or after a meeting. They are ideal for capturing quick thoughts when typing is not convenient.

Uploading Documents to a Meeting
Upload files directly to the meeting to give Marloo and summary generation additional context. Useful uploads include fact finds, previous correspondence, risk profiles, and background files.
Click the upload area within the meeting and select your files.
For Support Staff
Support staff can open any meeting they have access to and ask Marloo for context without reading the full transcript.
Example questions:
"What are my action items from this meeting?"
"What documents need to be prepared following this meeting?"
"Give me a two-paragraph summary of what was discussed."
Tips for Financial Advisers
Add context notes before the meeting starts. Pre-meeting notes about the client's situation help Marloo and summary generation produce more relevant output.
Dictate voice notes immediately after the meeting while details are fresh.
After generating a summary, ask Marloo to check for completeness: "Is there anything discussed in the transcript that is not covered in the summary?"
Frequently Asked Questions
I added notes but they did not appear in my summary.
Notes must be added before summary generation. If you added notes after generating the summary, go to the summary section and click Regenerate to incorporate the new notes.
Do voice notes get pulled into document generation?
Not currently. Voice notes enhance meeting summaries only. For document generation context, upload content as files to the client profile.
The summary is missing information I know was discussed.
Check the transcript to confirm the information was captured in the audio. If it was, you can edit the summary directly or ask Marloo to update specific sections. If it was not captured, add it as a text note and regenerate the summary.
