The client list gives you several ways to sort, tag, filter and organise your clients so you can find exactly who you want. It also explains why contacts you never added keep turning up, and how to get them out of the way.
Sort the list
Default: most recent interaction. The list is ordered by your most recent interaction with each client, based on their timeline, so the people you've been working with sit at the top.
Flip to ascending to bring the clients you've interacted with least recently to the top, a useful signal for who's due a catch-up.
Sort by name (A-Z) if you'd rather order the list alphabetically.
You can switch between sorting by name and by recency whenever you like.
Tag clients
Tags let you label clients so you can group and filter them however suits your firm.
Default tags to get you started: Prospect, Ongoing, Lost, Priority and Retired.
Add a tag: on a client, click Add tag, then choose an existing tag or create a new one. It's applied straight away.
Once your tags are set, you can filter your client list by your custom tags - see Filter the list below.
Tags like Ongoing, Prospect and Lost set you up for features coming down the line, prospect pipelines and recurring workflows for ongoing clients.
Filter the list
If you work with more than one adviser, you can filter the list to their clients.
Go to Clients.
Click the arrow next to the Clients title.
Search or pick the adviser. The list shows that adviser's clients. You can pick more than one.
You only see clients you already have access to. Other names can still appear in the dropdown; if user groups are set up, picking someone outside your group will not show their clients. For what makes a client visible to you in the first place, see Control who can see a client.

You can also filter from the icon on the Search clients bar:
By tag - e.g. show only clients tagged Retired.
By client type - Groups, Individuals, Companies, or Trusts.
Show all firm clients - every client you are allowed to see, not one adviser's.
Filters combine with sorting, so you can show only Individuals ordered by most recent interaction, for example.
Favourite a client
Favourite a client and they jump to the top of the list.
Unfavourite them and they drop back into their normal position.
Favouriting keeps your most-used clients within easy reach. Note that favouriting a client will also add your name to their Advised by list.
Why some contacts appear automatically
When your calendar is connected, Marloo pulls in everyone who appeared as a meeting attendee - including product providers, colleagues, and other contacts - and creates records for them in your Clients list. This is expected behaviour, and there is no global setting to turn it off, so people who aren't clients (colleagues, suppliers, personal contacts) can appear in your list.
Email sync does not create new clients. It only matches incoming emails to records that already exist, by email address.
Two things keep the list tidy:
Mark non-clients as "not a client" (see below) so they drop out of your main list.
Turn off Personal Events in the Meetings dashboard filter so personal calendar entries stop creating client records. Click the filter icon on the Meetings tab and toggle off Personal Events.
Mark someone as "not a client"
Not everyone in your records is a client. You can mark a contact as not a client to keep your main list clean.
Hover over the contact, click the ⋮ (three dots) menu, and select Not a client. They disappear from your main list, and their meetings and documents stop pulling through in Marloo.
To see them again, use the filter icon next to Clients to show your non-clients. To bring one back, open the same three-dot menu on that contact and select Mark as a client.
This replaces the old Hide option - "not a client" makes more sense for an adviser, since it's about what someone is rather than just hiding them from view. It is also the preferred option for a contact who keeps appearing from calendar sync, because it will not be recreated on the next sync.
Delete removes the record from Marloo instead. If the contact appears in your connected calendar as a meeting attendee, Marloo will recreate the record on the next calendar sync. Mark the contact as "not a client" instead of deleting if you want it to stay off your Clients list.
