What the integration does
Syncs new emails from your Outlook mailbox (Gmail is coming soon) and matches them to the correct client based on their email address.
Makes email content, including attachments and images in the body, available as context across Marloo.
Keeps your emails private by default, with per-client control over what your team and AI features can see.
Connecting Your Email
Go to Settings > Integrations.
Click Connect on the Outlook tile.
Sign in with your email account and grant the requested permissions.
For help with Microsoft permissions specifically, see Connecting Microsoft Outlook to Marloo.
Once connected, Marloo starts syncing new emails automatically and matching them to the right client.
Import past emails (optional, per client)
New emails sync automatically from the moment you connect. To view older emails for a specific client in Marloo:
Open the client's profile and go to the Emails tab.
Click Import past emails.
You only need to do this once per client. The import might take a few minutes, depending on how many emails and attachments are synced.
Synced emails become available as context across Marloo. You can reference them in Ask Marloo conversations, use them during document generation, and view them in client summaries.
Understand your privacy defaults
Your emails default to Hide emails. That means:
Only you can see them in Marloo.
They are not visible to teammates.
They aren't included in AI meeting summaries or Ask Marloo answers for other team members.
You can always see your own emails in Marloo regardless of the privacy setting, the setting only controls what your team and AI features can access for a given client.
Share emails with your team (per client)
Sharing is an opt-in choice you make independently for each client.
Open the client's Emails tab.
Click the privacy dropdown at the top right.
Select Share emails.
To stop sharing again, open the same dropdown and select Hide emails. The change applies to all your emails with that client, past and future, and you can switch at any time.

When does an email become visible to the team?
An email becomes shared once at least one person who received it, and who has the email integration enabled, sets their privacy to Share emails for that client.
Example:
You and a colleague both received an email from a client.
Your privacy is set to Hide emails.
Your colleague's is set to Share emails.
Because your colleague has shared, that email is now visible to the whole team and included in AI context like meeting summaries and Ask Marloo.
If nobody who received the email has opted to share, it stays hidden and is excluded from team views and AI summaries entirely.
Draft and send emails from Marloo
Marloo drafts emails for you, but it doesn't send them directly. You stay in control of what goes out.
Open Ask Marloo and ask for a draft (for example, "Draft a follow-up for Jane after yesterday's meeting").
Review the draft in Marloo.
Click Compose, and choose Outlook or Gmail.
The draft opens pre-populated in your email client. Edit if needed, then send from there.
