Send forms and documents for signature with Docusign

Send filled client forms and generated documents for e-signature from your own Docusign account, with the signed copy saved back in Marloo - for advisers and their teams.

Written by Andy Clifford

Marloo fills client forms and generates documents such as records of advice and engagement letters. Connect Docusign to send them for e-signature from the form or document, through your own Docusign account. Marloo tracks each signer and, once everyone has signed, saves the signed copy back on the form or document with Docusign's certificate of completion.

Connect Docusign

Each user connects their own Docusign account; you can't send through a colleague's.

  1. Go to Settings > Integrations and find Docusign under E-signatures.

  2. Click Connect Docusign, sign in to Docusign and allow Marloo access.

You can also click Connect Docusign on a filled form or form template; Marloo brings you back to it once you've signed in.

No Docusign account? Click Try for free on the Docusign card; when the trial is ready, Marloo connects it and you approve access. If the pop-up asks you to close the window, do so and click Connect Docusign.

Set up a form for signing

Do this once per form template; every send starts from it.

  1. Go to Templates > Forms, open the template and click Configure (a tick means a setup already exists).

  2. Under Add recipients, click Add recipient and choose a role: Client, Adviser, Other signatory (named when you send) or Receives a copy.

  3. For signing in turn, click Set signing order and put recipients in steps; each step waits for the one before.

  4. Under Choose fields, click a field to set its recipient and type: Signature, Initials, Date signed, or Text, Checkbox, Dropdown or Select one for the signer to fill in; of these, only a checkbox can be left empty.

  5. Click Save. Every field needs a recipient and every recipient a field. The Configure button now shows a tick.

Send a filled form

  1. On the completed filled form, click Prepare to send.

  2. Marloo fills recipients from the client record: the client (each group member in turn) and their adviser, or you if they have none. If someone still needs choosing, such as an Other signatory, the recipients step opens first; Edit recipients changes who signs.

  3. Tick Save changes to template to keep field changes for next time.

  4. Click Send and choose:

    • Send now - emails each signatory a link to sign; check the Subject, add an optional Message and click Send.

    • Create draft envelope - Docusign keeps it in your drafts so you can add other documents first; nothing is emailed yet. Give it a Subject and optional message.

    • Add to existing envelope - adds it to one of your recent Docusign drafts; nothing is emailed yet.

The form then shows Out for signature, or Open in Docusign if it went into a draft. Signing fields go out blank; the other answers are fixed in the PDF signers see.

Send a generated document

  1. In the document, open Export and, under Send for signing, choose Create draft envelope or Add to existing envelope.

  2. Marloo adds the document to the draft as a PDF, as Export renders it, and opens Docusign's sending screen in a new tab.

  3. Add recipients and signing fields and send from Docusign. The document then shows which version is in a draft, out for signature or signed.

The document stays editable while it's out; later edits stay in Marloo and aren't sent.

Finish a draft in Docusign

Forms and documents for the same client can share a draft; another client's draft can't take them.

  1. On the form or document, click Open in Docusign.

  2. Add anything else, then send from Docusign.

  3. Marloo picks up the recipients you added there; the form or document shows it was sent from Docusign.

Remove from envelope takes a form or document out; the draft stays in Docusign.

Track signing and get the signed copy

While it's out, the form or document shows Out for signature and who it's waiting on; a form also shows each field's progress, and the client's Forms tab shows its status.

It ends as Signed, Declined (with the reason), Expired, Voided, Not sent or Draft discarded; on a form that wasn't signed, click Send again.

When everyone has signed, Marloo saves one PDF, the signed pages followed by Docusign's certificate of completion, and shows it on the form. Click Download signed PDF to get it.

Good to know

  • Docusign reminds signers every 3 days; an envelope expires after 60 days, with a warning 7 days before.

  • A form is read-only while out for signature and once signed; in a draft it stays editable, and saved edits update the draft.

  • On a form filled for one client, a second client recipient is Not needed and goes out blank; for two clients to sign, fill and send the form from their client group.

  • A document is in one envelope at a time; to send another version, remove it from the draft or wait until the envelope is signed or ends.

  • Only the adviser who started an envelope can open it in Docusign.

  • If Docusign drops your connection, anything still out shows Reconnect Docusign; reconnecting resumes tracking and fetches any missed signed copies.
