Connecting Gmail to Marloo

How to connect your Gmail account to Marloo for calendar sync, email conversations, and contact import — plus troubleshooting common issues.

Marloo syncs with your Gmail account to automatically capture meeting details, sync email conversations, and import your contacts. This guide walks you through connecting your account and troubleshooting common issues.

How to Connect

  1. Log in to your Marloo account at app.marloo.com.

  2. Navigate to Settings > Integrations.

  3. In Calendar, find Google Calendar and click Connect. In Emails, find Gmail and click Connect.

  4. You'll be redirected to Google's sign-in page. Log in with your work Google account.

  5. Review the permissions on the consent screen and click Allow.

  6. You'll be redirected back to Marloo. Your integration should now show as connected.

Marloo offers two connection features: Calendars and Emails (which includes contacts). You connect each separately, but both can be active at the same time. If you initially connect just your calendar, you can add emails later without disconnecting.

Troubleshooting

Calendar Connected but Meetings Not Appearing

If your calendar shows as connected in Marloo but meetings aren't syncing, try the following:

  • Disconnect and reconnect your calendar from Settings > Integrations. (Tip: open Marloo in an incognito window to reconnect, otherwise Google tends to auto-pick the wrong account if you're signed into multiple.)

  • Make sure the meetings are on your primary Google Calendar, not a secondary or shared calendar.

  • If your meetings are on a secondary or additional calendar, you can enable it in Marloo: go to Settings > Integrations, click the Google Calendar tile, select Show hidden calendars, and toggle on the calendar you want Marloo to include.

  • Check that the meetings have not been cancelled.

  • Allow a few minutes for the initial sync to complete.

If the issue persists, contact our support team and we'll investigate.

Emails Not Syncing

If your emails show as connected but aren't appearing for a client:

  • Ensure the client has an email address saved in Marloo that matches your correspondence with the client.

  • Try clicking Import past emails on the client's Emails tab to trigger a backfill.

  • Allow a few minutes for the initial sync to complete.

Connection Keeps Dropping

If your connection frequently disconnects:

  • Check with your IT team that no Context-Aware Access or Conditional Access policies in Google Workspace are blocking third-party OAuth applications.

  • Ensure your organisation's firewall or security tools are not blocking requests from our calendar infrastructure provider (Nylas).

"Access Blocked" or Admin Approval Prompt

This is the most common issue for Google Workspace accounts. If you see a screen saying Google has blocked access because the app hasn't been verified for your organisation, or that your admin needs to approve this app, it means your organisation's Google Workspace administrator has restricted users from authorising third-party applications.

You'll need to ask your Workspace administrator to allow Marloo. You can forward them the following details:

  • What's needed: Admin approval for the Marloo OAuth application in the Google Workspace Admin Console

  • Client ID: 1073084651658-ks2iqt73odhasqdch3fo8cnrc4fc8hn1.apps.googleusercontent.com

  • Permissions requested: calendar.readonly, calendar.events.readonly, gmail.readonly, contacts.readonly, contacts.other.readonly, openid, email, profile

Your admin can allow the app via Admin Console > Security > API Controls > App Access Control, either by marking Marloo as a Trusted app or adding it to an allowed OAuth apps list, scoped to specific organisational units if preferred.

Once approved, users in the allowed scope should be able to connect without seeing this prompt.

For IT Administrators

Marloo uses OAuth 2.0 (Google's standard authentication protocol) to connect to Gmail. This is the same "Sign in with Google" flow used by applications like Zoom and Slack.

Marloo is not distributed via the Google Workspace Marketplace; users authorise it via standard OAuth, or an administrator can allow it organisation widee.

Good to know

  • Emails sent from an alias / send-as address won’t match. Matching is exact against the client’s saved email addresses.

  • Delegated/shared mailboxes aren’t supported. Each adviser connects their own account.

What Permissions Does Marloo Request?

The permissions Google asks you to approve depend on which feature you're connecting. Below is a breakdown.

Marloo does not request write access to your calendar. We can only read your events, never create, edit, or delete them.

Marloo uses email access to sync conversations with your clients. Emails are matched to clients based on their email addresses. Each user can control which clients' emails of theirs are visible to your team via privacy settings on each client. Contact data is used to automatically match email participants to clients and enrich client profiles such as pulling avatars.

How Marloo Uses Your Data

Once connected, Marloo uses your Gmail data to:

  • Calendars: Automatically capture meeting details such as titles, times, participants, and meeting links. Marloo then records meeting transcripts, and generates summaries and file notes off the back of them.

  • Emails: Sync email conversations with your clients. Generate AI summaries and make emails searchable across your team (subject to privacy settings). Contacts are imported alongside emails to match participants to clients and enrich client profiles.

Your data is transmitted over encrypted connections and stored securely.
