Importing client data from a CRM

Bring your existing client data across from your CRM. What to do, which CRMs are supported by region, what gets imported, and how your import is handled. [Draft]

Marloo can bring your existing client data across from your CRM. There are two parts: first you request a data extract from your CRM provider, then once you receive it you upload that file into Marloo.

How to import your client data

  1. Go to Settings, then Integrations, then scroll to CRM Imports.

  2. Under Import type, choose your CRM. The dropdown lists the CRMs available for your region.

  3. Request a data extract from your CRM provider. The file format depends on the provider (for example, Redtail produces a .sql backup and Wealthbox a .json export), and some you can export yourself. The provider guides below give the exact steps.

  4. Once you receive the extract, upload it into the upload area.

Which CRMs are supported

The Import type dropdown only shows the CRMs available for your firm's region, so your list may be shorter than the full set below. Redtail and Wealthbox import automatically; every other CRM is completed for you by the Marloo team (see How your import is handled below).

What gets imported

Depending on your CRM, Marloo imports:

  • Individual clients with their details (email, phone, address, date of birth, and more)

  • Companies and trusts

  • Groups (households and family or business links) along with their members

  • Notes, tasks, and past meetings logged against a client or group

Your CRM's lifecycle status comes across as a Marloo tag. For example, a contact marked "Active" in your CRM arrives with an Active tag, so you can filter your book by status straight away.

Once your import is processed, your records appear in Clients, where you can sort, tag, filter, and merge them.

Large exports

CRM extracts can be large, so uploads are built for it. Files up to 100 GB are supported. Large files upload in the background, so you can keep working in Marloo while a progress indicator runs in the corner of your screen. You can pause and resume an upload, and you will be warned before closing the tab while one is in progress. You can have one extract uploading at a time.

How your import is handled

There are two ways an import runs, depending on your CRM.

  • Automatic (Redtail and Wealthbox). You upload your extract and Marloo processes it for you. When the upload finishes, a green confirmation appears in the bottom-right corner of your screen and your information is ready in your account.

  • Handled by our team (every other CRM). You upload your extract and a message confirms it will not be processed automatically. Your file is sent securely to the Marloo team, who process it and let you know when your information has been processed and it is ready in your account.
