Add your firm's professional branding to Marloo, creating a cohesive client experience across virtual meetings and exported documentation.

Document template branding

Create professionally branded meeting summaries with custom headers and footers using your firm's document template.

Understanding document templates: Document templates allow you to apply your firm's branding to all exported meeting summaries, ensuring consistent presentation of client documentation.

Step 1: Prepare your template (you can watch a video tutorial on this step here)

  • Download our pre-prepared template or create a Microsoft Word (.docx) file.

  • Replace the placeholder logos in our pre-prepared template with your own company logos and make any other changes to the custom headers and footers that you see fit.

  • Apply your preferred text styles to headings and body text. Replace the nine nine heading levels, titles, subtitles, quotes, and various emphasis styles (normal, strong, intense) with your desired formats in your .docx template using Word's style options, and they'll automatically apply to all exported meeting summaries with consistent formatting.

  • Include any required regulatory disclaimers or standard text

  • Save the file with your preferred formatting styles

Step 2: Upload your template

  • In the Company section, locate Document Exports

  • Click to upload your prepared .docx template file

  • The system will confirm successful upload

How it works:

  • Your custom headers and footers automatically apply to all exported meeting summaries

  • The template preserves your firm's visual identity across all client documentation

  • Updates to the template will apply to future exports (existing exports remain unchanged)

Best practices for document templates:

  • Keep headers concise with key firm information

  • Include regulatory disclaimers in footers if required

  • Test your template with a sample export before firm-wide implementation

  • Ensure fonts used are standard to maintain compatibility

Meeting assistant name

Customise how your Marloo assistant appears in virtual meetings to align with your firm's professional identity.

Step 1: Access company settings

  • Log in to your Marloo account

  • Navigate to Settings in the main menu

  • Click on the Meetings tab (NOTE: not the Company settings tab)

Step 2: Configure your assistant name

  • Locate the "Meeting Assistant Name" field

  • Enter your preferred display name

  • Examples: "Marloo Assistant," "[Firm Name] Meeting Recorder," or "[Firm Name] Note Taker"

Why naming matters:

  • Client comfort: A clear, professional name helps clients understand the tool

  • Meeting transparency: Participants know exactly what the assistant is and does

  • Brand alignment: Consistent naming reinforces your professional image

  • Team consistency: Coordinate naming across your firm for brand consistency

Company logo for meeting bots

Display your firm's logo on your virtual meeting bot to maintain professional branding during client meetings.

Step 1: Upload your company logo

  • In the Company section in Settings, locate Company Logo

  • Click to upload your firm's logo or branding image

  • Supported formats: PNG, JPG (recommended dimensions: 200x200px minimum)

Once uploaded, your logo will automatically display when Marloo joins your virtual meetings.

Managing your branding

All branding elements in one place: The Company section now consolidates all customisation options for easy management.

Updating branding elements:

  • Meeting assistant name: Edit the text field and save changes

  • Company logo: Upload a new image to replace the existing one

  • Document template: Upload a new .docx file to update formatting

Team considerations:

  • Branding changes apply firm-wide for all users

  • Coordinate updates with your team to ensure consistency

  • Consider version control for document templates

  • Notify team members of any naming convention changes

Note: Previously, meeting bot customisation options were located in the Meetings section. These have been consolidated into the Branding section alongside document templates for streamlined brand management.
