Using the Marloo Mobile App for In-Person Meetings

Everything you need to know to get Marloo set up on your mobile device to record meetings and phone calls

Recording a Scheduled Meeting

Open the Marloo mobile app and find the meeting you want to record from your upcoming meetings list.

  1. Tap the meeting to open it.

  2. Tap Start Recording.

  3. Keep the app open and in the foreground for the duration of the meeting.

  4. When the meeting is finished, tap Stop Recording.

The recording will begin uploading automatically if you are connected to Wi-Fi.

Starting a Quick Recording

If your meeting is not on your calendar, or you need to record an unscheduled conversation or dictated notes:

  1. Tap the Quick Recording button at the bottom of the screen.

  2. Tap Start Recording to begin.

  3. When finished, tap Stop Recording.

Quick recordings work the same way as scheduled meeting recordings. The only difference is that they aren't linked to a calendar event.

Offline recordings and uploading

The Marloo mobile app can record meetings even when you have no internet connection. The recording is saved locally on your phone and uploads automatically once you're back online.

Offline recordings are visible in the app's recording list before they upload. They are labelled Offline recording / Tap to upload.

To trigger an offline upload manually:

  1. Connect to Wi-Fi.

  2. Open the Marloo mobile app.

  3. Tap the Offline recording / Tap to upload label on the recording.

If the upload doesn't start or stalls:

  • Check your Wi-Fi connection.

  • Force-close the Marloo app and reopen it.

  • Check that your phone has enough free storage.

  • Make sure the Marloo app is up to date.

If the offline recording is missing from the app's recording list entirely, contact Marloo support.

What appears on the web app

Your recording will appear under the Past tab on the Marloo web dashboard. It may appear as an untitled meeting.

Tagging a client to your recording

Once your mobile recording has uploaded, client tagging is done on the Marloo web app, not on the phone. The tagging UI is web-only.

  1. Open the meeting on the Marloo web dashboard.

  2. Give the meeting a name if needed.

  3. Tag the relevant client.

Before you start: checklist

Before pressing record, run through the following. The settings to change vary by device.

Stop the screen locking mid-recording

  • iPhone: Settings > Display & Brightness > Auto-Lock, set to Never. Change it back to your usual setting after the meeting.

  • Android: Settings > Display > Screen timeout, set to the longest option or Keep screen on. The exact path varies by phone model.

  • As a backup, tap the screen occasionally during the meeting to keep it awake. Adjusting auto-lock is more reliable.

Stop phone calls from interrupting the recording (Do Not Disturb)

  • iPhone: open Control Centre (swipe down from the top-right) and tap the crescent moon.

  • Android: swipe down the notifications shade and tap Do Not Disturb.

Other checks

  • Bluetooth: turn off, unless you already have a Bluetooth microphone connected. A Bluetooth device connecting mid-recording can take over the microphone.

  • Wi-Fi: make sure Wi-Fi is available for uploading after the meeting.

  • App version: update the Marloo mobile app to the latest version.

Getting good audio quality

The Marloo mobile app records whatever the phone's microphone picks up, so a few setup choices make a big difference to transcript quality.

Use the phone's built-in microphone. The Marloo mobile app works best with the phone's built-in mic, not a Bluetooth headset or wired earphones. If you have Bluetooth devices nearby (headphones, smartwatches), disconnect them before starting. A Bluetooth device connecting mid-recording can silently take over the microphone. Place the phone on the table between participants, screen up. This gives the mic a clear path to everyone in the room. Avoid holding the phone or leaving it in a pocket or bag.

Keep the room quiet. The Marloo mobile app records everything the mic picks up, including air conditioning, traffic, and background conversations. A quieter environment gives the cleanest transcript.

If one participant is missing or very quiet, the most common cause is that they were sitting too far from the phone, or someone was on speakerphone or a separate device. Move the phone closer to the centre of the table for the next recording. If audio quality issues persist across multiple recordings after trying the above, contact Marloo support with the meeting name and a description of what's missing.

What happens if your recording pauses (screen lock or incoming call)

Two things commonly pause a Marloo mobile recording: the phone's screen locking, and an incoming phone call. Both pause the recording. Neither stops it. You can resume the recording yourself, and the audio captured before the pause is preserved.

How to resume

  1. Open the Marloo mobile app.

  2. Go to the in-progress recording.

  3. Tap the play button.

Anything you record after pressing play is appended to the original recording.

What's preserved vs lost

  • Screen lock pause: all audio before the lock is preserved. Audio resumes when you press play. Nothing is lost during the lock itself (the lock pauses the app, it doesn't record silently).

  • Incoming phone call: audio before the call is preserved, and audio after you press play is appended. The audio during the phone call itself is not captured, because the phone's microphone is busy with the call.

When to contact support

If pressing play doesn't resume the recording, if your before-pause or after-resume audio is missing, or if the recording stopped while you had auto-lock disabled, contact Marloo support.

For virtual meetings

For Teams, Zoom, or Google Meet calls, the Marloo bot is more reliable than phone recording. The bot captures all participants' audio directly from the meeting platform, while phone recording only captures what the device microphone picks up.

To use the bot, schedule your meeting through the Marloo web app or send the bot to a meeting using the Send Marloo Now button.

FAQs

My recording stopped mid-meeting.

Most of the time the recording paused rather than stopped, usually because the screen locked or a phone call came in. See What happens if your recording pauses above. Open the in-progress recording in the app and tap play to resume.

Nothing appears on the web dashboard.

Check the Marloo mobile app for an Offline recording / Tap to upload label. If you see one, follow the steps in Offline recordings and uploading above. On the web dashboard, look under the Past tab (not Upcoming). The meeting may appear as untitled.

Can I record using the mobile browser?

No. Recording on mobile requires the Marloo mobile app. You can use the mobile browser to access the web dashboard, but recording is only available through the app.

Can I tag a client from the mobile app?

No. Client tagging is web-only. After your recording uploads, open the meeting on the Marloo web app to tag the client.
